The Restigouche Regional Service Commission is currently looking for an administrative assistant to be a supportive resource for our leadership team.
Reporting to the Office Manager, the ideal candidate will have exceptional communication skills and particular attention to details. This person should have experience working in an office environment, performing administrative duties, and providing support to directors/managers. Given the dynamic nature of our executive landscape, we rely on our administrative assistant to be flexible and consistent.
Objectives of this role
- Support the office manager with bookkeeping and administrative tasks
- Support the division leaders to ensure that RSC goals and objectives are accomplished, and operations run efficiently.
- Maintain and refine internal processes that support the Division leaders, and coordinate resources to expedite workflows.
- Plan work to ensure senior executives’ priorities are met, organizational goals are achieved while maintaining best practices.
Responsibilities
- Provide administrative and office support, such as writing letters/invitations, note-taking for meetings, translation, scheduling, and maintenance of the filing system and contacts database.
- Organize and schedule meetings and activities, both internal and off-site.
- Maintain professionalism and strict confidentiality with all information.
- Manage travel logistics and activities, including accommodations, transportation, and meals
Required skills and qualifications:
- Four or more years of experience in an administrative role
- Excellent written and verbal communication skills (French and English).
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects/activities.
- Proficiency with office productivity tools, social media and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes.
- Ability to maintain confidentiality of information related to the organization and its employees.
Preferred skills and qualifications
- Experience in developing efficient internal processes.
